Open Communication > Templates. A template is the wording of one kind of message, such as a fee reminder, in each language. The table shows the Code, the Channel, the English text, the Languages that are filled and the Status. Search by code or text. Filter by channel.

Change a template

  1. Click a row, or press New template for a new one.
  2. A new template needs a Code such as FEE_REMINDER and a Channel. Both are fixed once saved. An email also has a Subject.
  3. Write the text for each language: English, Marathi and Hindi. At least one language is needed. Use placeholders in curly brackets, for example {student_name}. A Preview with sample data appears below each text.
  4. For an SMS template, enter the MSG91 template id, the Flow template id from MSG91. For a WhatsApp template, enter the WhatsApp template name as approved by WhatsApp and the Variables, in order, for example student_name,date.
  5. Use the Active switch to turn a template on or off.
  6. Press Save. The message "Template saved" appears.

You need the permission to update templates. Without it you can read but not change.

Good to know

  • SMS in India must use a template that is registered (DLT). If the wording differs from the registered one, the operator may reject the message. Change the wording only after the registration is updated.
  • WhatsApp templates must be approved by WhatsApp. See WhatsApp templates.
  • A message goes out in the language of the person it is for. If that language has no text, English is used. Also see Delivery order, fallback, replies and cost.

Common questions

My message says a variable name instead of the value.

The placeholder is not one the template can fill. Use the names in the Preview.

A language shows no text.

English is used for that person. Fill in the missing language.
