Open Communication > Delivery. For each kind of message (fee reminder, receipt, absence alert, notice and so on) you choose how it is sent.
Two ways to send
- All switched-on channels. The message goes on every channel that is on, at once. This is the default.
- One at a time, in order. SunRuby tries the first channel. If it fails or is skipped, it tries the next after a wait.
Set the order
- In the Delivery order panel pick the message kind, for example Fee reminder.
- Choose One at a time, in order.
- Put the channels in order with the arrow buttons, for example WhatsApp, SMS, Email. The Phone app (push) can be in the order too.
- Set the wait in minutes before the next step (for example 15).
- Press Save. A toast says "Delivery order saved".
Put the order back to All switched-on channels if you want the old behaviour.
Why a channel is skipped
- WhatsApp is skipped when the person has not opted in (Skipped, no consent). See WhatsApp: switch it on and record opt-in.
- A channel that is off for the institution is skipped.
- A failed push moves on at once. A delivered push skips the waiting channels.
The message log shows the Fallback chain: step 1 WhatsApp (Skipped, no consent), step 2 SMS (Sent).
Codes always go everywhere
The gate pass collection code ignores your order. It always goes on every switched-on channel at once, so it cannot be held up.
Who can change it
The principal and the institution admin change it. The accountant sees it read only.
Replies
Communication > WhatsApp replies lists what parents answered (STOP, a question, a thank you), with the parent's name where known. There is no reply box. Answer by phone or message.
Usage and cost
Communication > Usage and cost shows messages, delivered, read, failed, skipped and the estimated cost in rupees for a month, by channel and category, with the rate card (marked "verify") and its source. The owner sees the whole organisation, and the shared number's credit if it is used.
Common questions
