Choosing an ERP for your school or college: 12 questions to ask any vendor
Use this list with every vendor you talk to, including us. Good answers are specific and written down. Feel free to print it.
Who owns our data, and how do we export all of it?
Ask for an export of everything in Excel or another standard format, any time, without a fee.
Why it matters: If you cannot leave easily, you will pay for it later.
Will you move our existing data, and who checks it?
Students, staff, fee structures and balances from Excel, registers or old software.
Why it matters: Migration is where most projects slip. Agree who checks the imported data before go-live.
Does it fit our board, our state and our fee structure?
State board, CBSE, CISCE or NIOS; your state's categories, holidays and professional tax; your instalments and concessions.
Why it matters: Workarounds for a poor fit cost your office time every single day.
Who can see what?
Can you create your own roles? Can you restrict Aadhaar, caste, category and fee details to the people who need them?
Why it matters: Sensitive student data deserves care, and India's DPDP Act expects it.
Is it available in the languages our staff and parents use?
Ask which languages exist today and which are only planned.
Why it matters: Software people are comfortable with gets used; software they are not gets avoided.
What will it cost in total over three years?
Setup, subscription, SMS or messaging, training, support, customisation and price increases.
Why it matters: A low first-year price can hide a high total cost.
Cloud or on our own server, and how are backups handled?
Where is the data kept, how often is it backed up, and how would you restore it?
Why it matters: Ask before you need it, not after.
How long will implementation take, and what do you need from us?
A written plan with dates and the names of the people responsible on both sides.
Why it matters: Clear responsibilities keep the project on time.
What training do you give, and for whom?
Office, accounts, teachers and wardens each need different training. What about new staff next year?
Why it matters: Untrained staff fall back to registers.
How do we get support, in which language, and how fast?
Phone, email or chat; working hours; the language your staff speak; what happens at fee-collection peaks.
Why it matters: Support is what you buy after the sale.
Can parents and staff use it on their phones, easily?
Try it yourself on an ordinary phone during the demo.
Why it matters: If parents do not use it, the phone calls continue.
Can we start with one module and add more later?
Fees or attendance first, then the rest, without paying for everything on day one.
Why it matters: Starting small lowers risk and builds confidence.
One more tip
Ask for the demo to use your kind of data, such as one class list or your fee structure. It shows how the product handles your real situation, not a perfect sample.
