Start a new academic year

Add the new year with its terms and holidays, make it current, and know what the old year can still do.

Institute · How to · Last checked 2026-10-19

Do this once a year, before you promote students. Only an institution admin can add a year. A principal can look.

Steps

  1. Open Institute > Academic years.
  2. Press New year. Type the name (for example 2027-28), the start date and the end date.
  3. Leave Make current unticked for now if the old year is still running. Press Create.
  4. Open the new year. Under Terms press Add term for each term. Terms of one year cannot overlap, and a term must lie inside the year.
  5. Open the Calendar tab. Add the holidays under Holiday list. You can also apply the state holiday list. See Choose the state and board, and switch on features.
  6. Make the fee structures for the new year. See Fee structures and invoices.
  7. Promote the students. See Promote students to the next class.
  8. When you are ready, press Set as current on the new year. This switches the whole institution, so do it last.

The old year after the change

A past year is read only. The page shows a banner "Viewing 2025-26, a past year". Exams and marks, divisions, subjects offered, timetable, fee structures, concessions, invoices and terms cannot be changed in it. Collecting a payment on an old invoice is still allowed.

A super admin can press Unlock for corrections on the old year, and Lock again when done. A principal cannot.

Common questions

I cannot press New year.

Only an institution admin or the owner can add a year. Ask them.

Can I delete a year?

Only a year that is not current and has nothing in it. Press Delete year.

Does the financial year change here too?

No. The books have their own financial year. See Add a financial year.
