A hostel can be its own institution inside your organisation. Its residents may study in your schools or elsewhere. The words are Resident, Register No., Group and Rector or Warden. School things such as exams and report cards are not shown.
Set up
- Institute > Institution profile. Choose the Hostel preset. Under Stay cycle pick Academic session (one stay for the school year) or Rolling, monthly (stay continues month by month). Switching changes nothing already recorded.
- Hostel > Hostel set-up. Add blocks with floors, generate rooms and beds, and check the room types and daily timings. Hostel blocks, rooms and beds
- Hostel set-up > Resident groups. Add groups such as juniors and seniors, and sub-groups if you want them.
- Institute > Staff logins. Give the rector, wardens, mess manager, security and office staff their sign-ins. Wardens, mess managers and security see different pages.
Residents
- Hostel > Admit resident. Search a student of your school. If they are not a resident, admit them. For someone from outside, choose Add a new person and record the guardian and the school they study in.
- Give a bed now or Give a bed later. Hostel blocks, rooms and beds
- Keep the documents list complete on the resident page.
Money
- Fees > Fee structures. Make a hostel structure (rent, deposit, mess). Assign it to residents. For a rolling stay, rent is billed monthly. Fee structures and invoices
- Collect and refund like other fees. A refundable deposit is settled when a resident leaves.
Every day
- Roll call. Start a roll call for a block, mark who is absent and close it.
- Gate passes. A pass goes parent, then warden, then the gate. Gate pass for hostel residents and Share a gate pass
- Mess. The weekly menu and meal attendance. Hostel mess
- Visitors, complaints, incidents, medical. Log them on their pages.
Parents
Parents see a Hostel tab in the phone app. Install it. The phone app: install and sign in
