When the warden approves a gate pass, it gets a private shared link. The family can send it to the person who will collect the resident. That person shows the QR on the page at the gate. See Gate pass for hostel residents for the whole flow.
Share it
- Open the approved pass in Hostel > Gate passes (or in the parent app).
- Press Share pass. A message is made in your language: first name, hostel, leave and return times, who is collecting and the link.
- Choose Share, Copy message, Copy link, WhatsApp to ... or SMS to ....
The link works until the pass is closed (returned, cancelled or rejected) or its time plus a grace period has passed.
What the public page shows
Only the resident's first name and last initial, the hostel, the institution, the times, who may collect and the QR. It shows no phone, address, bed, reason or destination. A photo is shown only if the institution turned that on (hostel.gate_share_photo, off by default).
At the gate
Security scans the QR or types the token under Verify by token. The page says Allowed to collect and who. Security checks the collector's ID, then presses Mark out at gate. If someone else comes, choose Someone else, type their name and relation, and give a reason.
Stop or replace a link
If the link went to the wrong person:
- Open the pass and press Stop link, or New link to make a fresh one.
- Share the new link again.
Stopping or replacing also changes the QR, so a screenshot of the old QR stops working at the gate.
Collection code (optional)
An institution can ask for a 4 digit code that is sent by SMS to the person collecting. Security types it when marking out. After 5 wrong tries the warden must press Send a new code. This is a setting and is off until the institution turns it on. Collection codes always go on every switched-on channel at once.
Common questions
The link says "This pass is no longer valid."
The pass was returned, cancelled, rejected, stopped or is past its time.
Can anyone open the link?
Anyone who has the link can see the page. That is why it holds so little, and why you can stop it.
