General · Getting started · Last checked 2026-10-19

SunRuby shows only the menus your role may use. If a menu is missing, ask the person who looks after logins at your institution. For the Ask button in particular, read The Ask button is missing.

The first day, for every institution

  1. Sign in. See Sign in and choose your language.
  2. Open Institute > Institution profile. Check the kind of institution and the features switched on.
  3. Open Institute > Academic years and check the current year.
  4. Open Institute > Staff logins and give each staff member a sign-in with a role.
  5. Add or import your students. See Admit a new student and Import students from a spreadsheet.
  6. Take the first day's attendance. See Take daily attendance.

A school

Start with Academics (standards, divisions, subjects), then Students, then Fees > Fee structures. Teachers use Attendance > Daily and Exams.

A junior college

The same as a school. Standards, divisions and subjects are set under Academics. Marks and report cards follow the grading you choose under Exams > Grading.

An ITI

Trades replace standards. Open Academics > Trades first. Trainees, biometric attendance, trade test eligibility and industry training appear when your institution profile switches them on.

A hostel

Open Hostel > Hostel set-up to add blocks and rooms. Admit residents under Hostel > Admit resident. Wardens use Roll call and Gate passes every day.

A trust office

Open Organisation > Institutions and Organisation > Legal entities. The trust dashboard and Organisation > Trust reports show all your institutions in one place. The books need the Standard finance level. See Switch the books on.
