A concession lowers what a student pays. SunRuby keeps three kinds of reduction apart so the books stay clear.
1. A concession on the student
A concession is a percent or an amount, for one fee head or for all, with a reason (sibling, staff ward, merit, economically weaker, RTE, scholarship, management, other) and a year. It must be approved by a person who holds the permission to approve concessions. Approved concessions are applied automatically when invoices are generated, and the printed invoice shows a Concession column.
Concessions waiting for a decision are counted on the principal's work list as "Concessions awaiting approval". Fees > Accounts overview shows "Fee concessions to approve".
There is no separate Concessions screen in the app yet. If you need to record one, ask your SunRuby contact, who can enter it for you. Do not use a lower amount to hide a concession.
2. A lower amount for one student (waiver)
On the student's page press Raise fees, untick an installment or lower an amount, and write the reason (at least 5 characters). Nothing is charged until you confirm. Use this when a student joins late or a trustee waives a term.
3. RTE children
RTE children are not billed the fees the government reimburses. This is not a concession. See RTE reimbursement claims.
Scholarships
In ITIs, when scholarships are switched on, Fees > Scholarships holds applications, decisions and payments.
Alerts
The principal gets an alert when a concession is above the amount or percent limit, or has waited too long. The limits are set under Institute > Dashboard settings > Thresholds.
Common questions
The concession did not appear on the invoice.
It applies only to invoices made after it was approved. Cancel and generate the invoice again, or raise the difference by hand.
Can the person who entered a concession approve it?
The approval rule of your institution decides. With the strict rule another person must approve.
