The trust dashboard and trust reports

See all your institutions in one place: fees, enrolment, attendance, results and cost, with eight printable reports.

Organisation · How to · Last checked 2026-10-19

The trust dashboard shows all institutions of your organisation on one page. It is made for trustees, the owner and institution admins.

Open it

Sign in and open Dashboard. A trustee sees Trust overview.

  1. The top shows Fees collected, outstanding, the share of fees due that is paid, and students.
  2. Filters: academic year or financial year, institution type chips, and a legal entity picker when there is more than one. Switching to Financial year reloads every figure and the subtitle changes.
  3. Eight KPI tiles follow. A missing figure shows a dash with a reason, never a plain 0.
  4. A table lists each active institution. Press an institution name to open its summary.
  5. A Books block shows cash, bank, income and surplus where the books are kept in SunRuby. For books kept in Tally it says so and invents no balance.

Institution summary

The summary shows fees against dues (with a monthly chart), overdue fees by age, salary cost, enrolment, staff by gender and department, attendance, and the latest results by class. It shows no student or staff names. A trustee has no link to the dues list, pay runs or student list.

An address for an institution outside your view says "This institution is not in your view".

Salary figures

Salary cost shows an amount and a share of fees collected. For months with fewer than 3 staff paid by an institution, it says "Fewer than 3 staff: not shown" and leaves them out of the total. Staff paid by the government (aided) have a headcount but no amount.

Trust reports

Open Organisation > Trust reports. Pick one of eight reports with the chips: for example collections, outstanding, enrolment, staff, attendance and salary cost. Each table has a total row where it makes sense and notes under it.

  • Download Excel gives a file with title, year, table, total and notes.
  • Print or save as PDF gives an A4 landscape page in black on white.
  • On a phone you choose the report with a picker and tables scroll inside their card.

Open Organisation > Legal entities (owner). Here you set the form of the trust, registration numbers (shown masked to others), the financial year start month, the finance level and the books mode: Dashboards only, Tally, or Kept in SunRuby. "Kept in SunRuby" needs the Standard level. Give a reason for each change.

Common questions

A school is missing from my dashboard.

You may not have that institution in your view, or it is inactive. Ask the owner.

Numbers differ from the Dues page.

Check the year filter. The dashboard uses the academic or financial year you chose.
