Open Books > Years and locks. To add a year, see Add a financial year.
Lock the books
- Press Lock the books and choose Lock up to a date. No voucher can be dated on or before it.
- It is refused while there are drafts or waiting vouchers in the period. Approve, reject or cancel them first.
- The line "Locked up to 31 Aug 2026" shows. The Lock history lists each lock and unlock.
- The owner can Unlock with a reason. The accountant has no Unlock button.
Close the year
- In Financial years open the Year-end checks of the year. Each check shows a tick or a cross. They cover things like unposted vouchers, trial balance balanced, and bank reconciliation done.
- Fix the crosses.
- Press Begin the year-end close. It is refused before the year's end date.
- When ready, press Close the year. A closed year takes no new vouchers.
- The owner can Reopen the year with a reason.
Packs for the CA
Open Books > Packs for the CA. This needs the Advanced finance level. The page shows packs of plain data, each marked For CA review with its form reference and "verify", and a note: SunRuby files nothing. The layout is blank, because the chartered accountant uses their own. Examples are the Rule 187 data (income by source, application of income, corpus donations, loans, properties, related persons), Form 112, 113 and 114 data and the audit schedules. Section and form numbers of the Income-tax Act 2025 are marked "verify" with sources.
- Open a pack and press Preview to see its tables.
- Download Excel or CSV.
- The Form 113 pack shows donors' PAN as the last four characters. Someone who may see PAN can tick Include donors' PAN numbers to include the full numbers. Every export is logged.
Common questions
Close the year is refused.
The date is before the year's end, or a check fails.
The pack says "No layout supplied yet".
That is expected. Give the data to your chartered accountant. SunRuby does not file returns.
