Open Fees > Online payments. If the menu is missing, online payment is not switched on. See Switch on online fee payment.
How a payment flows
- A parent opens a bill in the app or on the web and presses Pay. They get a pay link such as
/pay/.... The page shows the institution, each child's first name and last initial, the bill and the amount. It shows no full name, phone or GR number. - They pay with UPI, card or net banking at the gateway.
- The gateway tells SunRuby. SunRuby matches the amount to the bill and issues a receipt in your normal receipt series. The receipt shows the mode (for example UPI) and the gateway reference.
- The parent sees "Paid. Thank you." with the receipt number.
The tiles and tabs
The tiles show Today, Needs review, In progress and Refunds waiting. The tabs are:
- Received. Successful payments with the method, a masked payer and the gateway reference. Open one to see its receipt.
- Needs review. The money arrived but does not match the bill, for example a wrong amount. No receipt is issued. An urgent alert "Online payment does not match" is raised for each.
- Pending and failed. Links not paid or not finished.
Deal with a payment in review
- Open it. Read Why it needs review.
- Choose Keep the money as advance credit (it becomes advance credit for the child), or Checked: nothing more to do, or Ask for a refund. Write a reason.
- Another person approves under Fees > Online refunds > Decisions. See Online refunds and payments in review.
Pending and failed
- Check now asks the gateway what happened.
- Copy the pay link lets you send the link again.
- Cancel the link needs a reason.
Good to know
- An online receipt cannot be reversed in Fees > Receipts. It says "This payment was made online. Refund it from Online payments". Use a refund.
- A parent should not pay twice. The pay page says "Do not pay again" while a payment is in progress.
- The office cannot see card or UPI numbers.
Common questions
A parent says they paid but there is no receipt.
Look under Pending and failed and Needs review. Press Check now. If it is in review, the amount did not match the bill.
Can part payments be allowed?
Yes, if payments.allow_partial is on. The parent can then choose another amount between the minimum and the balance.
