Alerts and the weekly digest

Work through the alerts that need a person, snooze or resolve them with a note, and read the weekly summary sent to trustees.

Alerts

An alert is something that needs a person to look. Examples: a hostel resident is missing from a closed night roll call, a gate pass has run past its return time, a class register is not marked after the cut-off time, or a student has been absent for several days in a row. New alerts show here and in the bell at the top.

Open Alerts. The tabs are Open, Acknowledged, Snoozed and Resolved. The line at the top counts urgent, today and this week.

Work through an alert

  1. Click an alert to read what it means and its History. The history is never edited.
  2. Press Open to go to the records it is about.
  3. Choose one of: - Acknowledge: you have seen it and you are on it. - Snooze: it goes away until later. Choose 1 hour, tomorrow morning, 3 days, or Pick a date and time. You must write a reason. If it is still a problem when the time comes, it returns. - Resolve: choose how it was resolved (action taken, no action needed or false alarm) and write a note. Some kinds of alert need a note.
  4. Every step is kept with your name and the time.

Filters

Filter by severity or by kind of alert. Switch on Mine only to see just the alerts that belong to you. An alert owned by someone else can be read but not changed. An alert that is not looked at in time is marked Escalated and goes to the backup owner.

If the page is empty

"Alerts are not available yet" means alerts are not switched on for your institution, or your role has no access. Who gets which alert is set in Dashboard settings: targets, limits, times and who gets alerts.

Weekly digest

Open Weekly digest. It is the summary sent to trustees each week, one row for each institution: students on roll, attendance, fees received, fees overdue by 90 days or more, and students who are often absent. It never shows the name of a student or a staff member.

  • The top shows when it was sent and by which channel.
  • Earlier weeks on the side lets you open a past digest.
  • A super admin also sees a preview and can send a test.

Who receives it, on which day and which sections it holds are set in Institute > Dashboard settings, on the Digest tab.

Common questions

Why did I get an alert at night?

A missing resident at night is a safety matter, so the alert goes at once, even in quiet hours.

Where is the digest?

If it says "not available yet", the first one has not been sent. It goes out on the next scheduled day.
