Check these in order.
1. The Books menu is not there at all
The Books menu appears only when the legal entity keeps its books in SunRuby, at the Standard finance level or higher. Open Organisation > Legal entities (the organisation owner can). Look at Books of account and Finance plan level.
2. "The books need the Standard finance level"
Your plan level is Basic. The organisation owner sets it:
- Open Organisation > Legal entities.
- Open your legal entity.
- Under Finance plan level, choose Standard.
- Press Save.
Other users cannot change the level. It is owner only.
3. "This institution is not linked to a legal entity"
Open Organisation > Legal entities, open the entity and use Move institutions into this entity. An institution belongs to one entity.
4. "Not ready yet" and a list of blockers
The setup page lists what is left. The usual blockers are:
- Apply the chart of accounts template.
- Choose the date the books start.
- Map the accounts and get the mapping approved by a second person.
- Upload the opening balances, or say there are none.
Do each step on Books > Set up the books. See Switch the books on.
5. "Only the organisation owner can do this step"
The last step, Switch the books on, is for the organisation owner.
6. "Say why the books are switched on"
Write a reason of at least 5 characters.
Common questions
The books are kept in Tally. Can I still use SunRuby books?
Not at the same time. Where the books are kept is a choice per legal entity, under Organisation > Legal entities. Talk to your CA first.
