Payroll reads a locked monthly summary of staff attendance when devices are on. A pay run for a month that is not locked is refused with "Lock the staff attendance of ... first".
Open Staff > Monthly attendance for payroll.
Steps
- Choose the month. If it has no summary, press Work out. The office can do this.
- Read the lines. Each person shows Working, Present, Half, Absent, Not confirmed, Paid leave, Unpaid, Late, Late rule, One punch, Unmarked, Waiting and Loss of pay.
- Tick Only people with open questions to see who needs attention.
- Open a name to see their month. Decide any waiting corrections first. See Ask for or approve a correction of your punches.
- When the month is over and nothing is waiting, the principal presses Lock. If days are still not confirmed or corrections still wait, the dialog asks you to tick that you lock it as it is.
Press Work out again after any change. The version number goes up.
How loss of pay is counted
Loss of pay = Absent + half of Half days + the late rule (half a day for every 3 late marks). Not confirmed days are not in it unless the institution turned on "device absence cuts pay".
Change one day (the head)
- Open the person's month and press Change this day.
- Choose a status such as On duty, and write a reason.
- To go back to the device's record, choose Use the punches again.
The days before and after are kept in a log.
Unlock
Only the principal unlocks, with a reason of some length. It is refused once the month's pay run has left draft.
Common questions
Lock is not offered to me.
The office works out the month. The principal or approver locks it. The month must also be over.
I get "locked for payroll" when marking staff attendance.
The month is locked. Unlock it first, change the day, work it out, and lock again.
