Reset a parent's or staff member's sign-in

Help someone with a new phone, a changed number or a code that does not arrive, without a visit to the office.

Institute · How to · Last checked 2026-10-19

Use this when a parent or a staff member has a new phone, a changed number or no code arriving.

Steps

  1. Open Institute > Staff logins (or Organisation > Users).
  2. Search for the person, for example "parent". Open their row.
  3. Press Reset sign-in (shown under Active).
  4. Write Why, at least 5 characters, for example "Lost the phone".
  5. Choose what to do: - Sign out every phone and browser ends their sessions and stops notifications to old phones. - Let them ask for a code now starts the limit of five codes an hour again. - New mobile number (optional) is the number they will sign in with. The guardian record is updated too. - New email (optional). - Send a sign-in code now sends a code at once.
  6. Press Reset sign-in.

A message says "Sign-in reset" and shows the masked number. The reset is written to Institute > Audit trail.

Limits

  • A mobile number must be 10 digits and not used by another account.
  • The same person can be reset 5 times a day.
  • You cannot reset your own account. Sign out on your own phone instead.

Common questions

I do not see the Reset sign-in button.

Your role needs the permission to reset sign-ins. By default administrators and the owner have it. Accountants do not.

Using SunRuby already? Press the ? button at the top of any screen for the guide to that screen.
