Payroll settings

Open Payroll > Payroll settings. The first card, How salaries are worked out, applies to every institution of the organisation. If you can only view the page, it says so.

  • Payroll level: Basic pays one monthly gross per person. Standard adds salary components, structures and loans.
  • Pay day: the day of the next month on which salaries are paid (1 to 31). It is printed on payslips and used in bank files.
  • Loss of pay is worked out on: one day of loss of pay is the monthly amount divided by this many days.
  • Rounding of pay: for earnings and loss of pay. Provident fund and ESI follow their own rules.
  • Days with no attendance mark: working days up to today with no attendance mark are counted the way you choose.

Press Save. A change does not alter pay runs that are already calculated. Recalculate a draft to use it.

The second card, Payroll at your institution, applies to this institution only:

  • The switch Payroll for this institution turns payroll on or off. When it is off no new pay runs or previews can be made. Pay runs, pay profiles and payslips already made are kept.
  • The State and the Government payroll portal show how staff paid by the government are handled. They appear in pay runs with no institution pay and are left out of bank files and payslips.

The card Who approves a pay run shows the rule. The institution admin changes it in Institute > Settings. See Institute settings: working days, attendance mode, late fee and more.

Statutory rules

Open Payroll > Statutory rules. These are the values for provident fund, ESI, professional tax, labour welfare fund and income tax, each with the date it applies from. They are shared by every institution of the organisation.

  1. Press Load defaults the first time. It adds the researched values that are missing. It never changes a rule you already have.
  2. Rules are grouped by state, with an All India group. Each rule shows its dates, a status (In force, Ended or Starts later) and a Confidence level. Open Notes for the source.
  3. Switch on Only values to verify to see the rules that need checking. Check these against the current notification before the first pay run.
  4. Use Add a rule for a new value from a date, or the pencil to change one. The bin deletes a rule. Pay runs already calculated keep their amounts.

Filter by kind to see only one kind of rule.

Common questions

Why is my pay run using an old rate?

A rule applies from its own date. Add a new rule with the new date.

I switched payroll off by mistake.

Switch it on again. Nothing that was made is lost.
