Leave types and balances

Set up the leave types of your institution (casual, sick, earned), the days a year, and what is paid.

Staff · How to · Last checked 2026-10-19

Open Staff > Leave types. Everyone can read the list. Only people with the permission can change it, usually the institution admin and the principal.

Add a leave type

  1. Press Add leave type.
  2. Type a Code of 1 to 10 letters or digits (for example CL or MRL). A code already used is refused.
  3. Give the name and the Days a year. Use whole or half days, from 0 to 366. A type with no yearly limit says "This kind of leave has no yearly limit".
  4. Choose Paid or Unpaid (paid leave does not cut pay).
  5. Save. A message says "Leave type added".

To change one, open it, edit and save. A type that has been used can be edited but not removed from past applications.

Balances

Each staff member's Your balances on Staff > Leaves start from the days a year and fall when a leave is approved. Cancelling an approved leave gives the days back. Working days are counted for you and Sundays and holidays are skipped. See Apply for leave and approve leave.

Leave and pay

  • Paid leave appears as "Paid leave" in the monthly staff attendance and does not cut pay.
  • Unpaid leave appears as "Unpaid" and counts toward loss of pay.
  • At full and final settlement, leave types marked encashable can pay out the balance. The list of encashable types is a payroll setting. See Full and final settlement.
