Books: bank accounts and bank reconciliation

Add a bank account, upload the bank statement, match each line to a book entry, and print the reconciliation statement.

Books · How to · Last checked 2026-10-19 Needs the Standard plan

Bank reconciliation checks that the bank account in your books agrees with the bank's statement. Open Books > Bank.

Add a bank account

  1. Press the button to add an account. Give the bank, a name and the account number. Only the last four digits are shown afterwards.
  2. A bank head is made in the chart of accounts for it.

Upload a statement

  1. Open the account and press Reconcile.
  2. Download the statement template. Fill it with the bank's lines, or arrange your file in the same columns.
  3. Upload it. A message tells how many lines were added. The same file again is refused as already uploaded. A file without the header row is refused with the columns named.

Match

The screen has two sides. Left: statement lines not matched (for example bank interest). Right: book entries not matched (for example a cheque not presented yet).

  1. Automatic matching. Press the auto button. A message says how many matched and how many are left for you.
  2. By hand. Choose a statement line and the book entry with the same amount. The bar says "the totals agree" and Match turns on. If the totals differ, Match stays off.
  3. Matched pairs move to the Matched tab. Undo puts both back.
  4. A line that has no book entry (such as bank charges) can be set aside with a reason of at least 5 characters. Enter a voucher for it later, or bring it back.

Matching never changes a voucher.

The reconciliation statement

Open the Reconciliation statement tab. It shows the balance in the books, less receipts not in the statement, plus payments not presented, plus credits not in the books, less debits not in the books, and the balance worked out against the statement. It ends with Reconciled or shows the difference. It never hides it. Download CSV or print it.

Who can do what

The accountant uploads and matches. The principal can open the Bank pages but cannot upload or match. Teachers and trustees cannot open Bank.

Common questions

The totals will not agree.

A statement line may have no entry yet. Enter the voucher (for example bank charges), then match. Or a cheque is not yet presented, which is normal and appears in the statement as a reconciling item.
