Staff loans and advances

Record money lent to a staff member and the monthly instalment that is taken from their pay when a pay run is locked.

Payroll · How to · Last checked 2026-10-19

Loans are used from the Standard payroll level. At the Basic level the page says so: "Your organisation pays one monthly gross per person". Change the level under Payroll > Payroll settings (see Payroll settings and statutory rules).

Open Payroll > Loans. The table shows the staff member, purpose, amount, monthly instalment, first instalment month, how much is repaid with a bar, the balance and the status.

Add a loan

  1. Press Add loan.
  2. Choose the Staff member. Only people with a pay profile are listed. See Salary structures, components and pay profiles.
  3. Write the Purpose, for example Festival advance.
  4. Enter the Amount and the Monthly instalment. The box shows about how many instalments that makes.
  5. Choose First instalment in, the pay month of the first instalment.
  6. Add Notes if you want. Press Add loan.

How it is repaid

The instalment is taken from pay when a pay run is locked. It is never more than what is left of the pay that month. When the balance reaches zero, the loan is closed.

Change or close a loan

  • The pencil icon changes a loan. Once instalments have been recovered, the amount and the first month cannot change.
  • To stop the instalments, set the Status to Closed.
  • The bin icon deletes a loan. A loan with recovered instalments cannot be deleted. Close it instead.

Use the filters to search by name or purpose, or by status.
