Bank file layouts for salary transfer

Define how the bulk transfer file for your bank is written: columns, separator or fixed width, header row and the default layout.

Payroll · How to · Last checked 2026-10-19

When you lock a pay run you can download a file to upload to your bank for the salary transfer. Banks want different columns. A layout tells SunRuby how to write the file for your bank.

Open Payroll > Bank file layouts. Your layouts are listed with their separator, file type, number of columns and whether there is a header row. The one marked Default is used unless you choose another when you download the file. Below it you see the built-in layout, which is used when none of yours is the default.

Add a layout

  1. Press Add a layout.
  2. Type a Name, for example "State Bank bulk NEFT".
  3. Choose Columns separated by (comma, tab or another separator, or fixed width) and the File type, CSV or Text.
  4. Switch on Header row if the first line must hold the column headers. Switch on Default layout to make this the one used by default. Only one layout can be the default.
  5. Under Columns press Start from the built-in layout if you want a base, or Add a column.
  6. For each column set the Header, the Value (a field such as the account number, IFSC, name or net pay, or fixed text), the Width, the Align, Fill with (spaces or zeros) and the Format (for example 2 decimals for an amount or a date pattern). Use the arrows to move a column and the bin to remove it.
  7. Check the Sample. It shows two made-up rows laid out the way the file will be. A tab is shown as an arrow.
  8. Press Add a layout.

For fixed width every column needs a width. If something is wrong, the box "Fix the layout before saving" lists it.

Check the layout with your bank before the first upload.

Change or delete

The pencil icon changes a layout. The bin icon deletes it. Files already downloaded are not affected.

Common questions

The bank rejects the file.

Compare the column order, the separator and the header row with the bank's sample. Fix the layout and download the file again from the locked pay run. See Run payroll for a month.

Staff paid by the government are missing from the file.

They are left out of bank files by design.
